Background
Sprout is the Philippines’ first Cloud-Based HR Software that addresses the HR challenges of business customers. It serves SMEs with around 200 headcounts. These companies use Sprout HR to manage their HR processes and communicate company-wide announcements via email, Viber, and Slack. Some employees are out in the field, making it more difficult to communicate effectively with all staff.
Users:
Admin (HR Head): Typically in their 40s, with over 25 years of experience in the HR industry. They are not very "techy" but are responsible for managing internal communications and announcements.
Employees: Field and office staff who need to stay informed about company updates and policies.
Problems
#1. Admins need a better way to create engaging newsletters and announcements (including videos and polished layouts). Currently, they rely on third-party platforms as Sprout HR lacks native design tools and templates.
#2. Admins must post announcements individually on multiple channels (email, Viber, Slack), wasting time. There’s no efficient way to manage and send announcements directly from Sprout HR.
#3. Admins need a way to prioritize critical messages. Important announcements often get lost in employees’ inboxes due to overload, and Admins need to ensure these messages are seen, especially during their absence.
#4. Admins want to disable notifications during their time off to avoid interruptions.
Solutions
Notice Board Widget for Internal Communication
Users: Admins & Employees
A dedicated widget within the platform to manage internal communication effectively, allowing quick visibility of important updates and announcements. This feature makes it easier for employees to stay informed, and for admins to broadcast messages.
Content Board for Content Management
Users: Admins
A new content board that includes a content library, along with features for tracking content status and progress. This helps admins organize, store, and access content in one place, making it easier to plan and manage announcements.
Content Templates with Visuals
Users: Admins
Pre-designed templates for different types of content (e.g., newsletters, policy updates, fire drills) with the ability to easily add visuals like images or videos. This feature ensures that admins can quickly create polished and engaging content without relying on external platforms.
Cross-Posting Feature for Multi-Channel Distribution
Users: Admins
Enables admins to publish content across multiple channels (email, Slack, Viber, etc.) simultaneously. This saves time and ensures that important announcements reach all employees, regardless of the platform they prefer.
Instant Call-To-Action (CTA) Response
Users: Admins & Employees
A feature that enables admins to include instant CTA buttons within announcements for quick responses. For example, employees can immediately confirm their attendance for events or acknowledge important updates, improving engagement.
In-App Notice Board for Quicker Responses
Users: Admins & Employees
An in-app notice board that allows employees to instantly view and respond to important announcements without leaving the platform. This makes it easier for both admins to communicate and employees to engage with content.
